What is Fuze Meeting and how can I use it?

Fuze Meeting lets you share rich media content such as videos, high resolution images, your desktop, and other rich graphics in real-time with up to 15 online participants.

Audio conferencing is included in all Fuze Meeting subscriptions, and you can host a web conference as often as you'd like for one low monthly price.

Do I need to schedule or pre-arrange a meeting with Fuze Meeting?

No, you can start a web meeting instantly and send invitations to your participants via email or IM. If you know about an online conference in advance, you can send out meeting invitations right from Fuze Meeting, and give attendees advance notice.

Can I share my desktop with Fuze Meeting?

Yes, screen share is available for both the Mac and PC.

How do I share content with Fuze Meeting?

Simply log into Fuze Meeting and upload the materials you'd like to share or simply share your desktop. You can upload prior to the start of your online meeting or perform a background upload during your live meeting.

When do I use content upload/sharing vs screen sharing in Fuze Meeting?

We recommend you upload and share high-resolution images or HD video. Content upload and sharing is also helpful when presenting documents that don’t change or that require markup in Fuze Meeting. Use desktop sharing if you need to share an application on your computer or if you need to share content and modify it during the online conference.

What operating systems are supported by Fuze Meeting?

Fuze Meeting is universally compatible with Windows XP, Windows Vista, Windows 7 Mac OS X, SUSE, and Red Hat Linux. Screen sharing is compatible with Windows XP, Windows Vista, Windows 7 and Mac OS X Leopard and above (Intel-only).

What browsers are supported by Fuze Meeting?

Fuze Meeting is compatible with most major browsers including Internet Explorer 7 & 8, Firefox 2 & 3, Safari 4 & 5, Google Chrome, and Opera 9 & 10.

What ports are used by Fuze Meeting?

Fuze Meeting communicates on ports 80 and 443. Please make sure these ports are open in your firewall or you may have trouble starting meetings or using Fuze Messenger.

What files types can I upload and share with Fuze Meeting?

The following file types are supported in Fuze Meeting, with more on the way soon!
Document types: DOC (MS Word), PPT (MS PowerPoint), PDF (Adobe Acrobat)
Image types: JPEG, PNG, TIF, BMP, GIF
Video types: 3GP, 3G2, DIVX, F4V, MKV, M1V, OGG, RM, RMVB, VOB, MOV, MP4, WMV, FLV, MPEG, AVI, ASF. (Note: some video codecs may not be supported for all file types.)
Audio types: MP3, WAV

Can I share Apple Keynote presentations in my Fuze Meetings?

Fuze Meeting does not natively support Keynote but we are working hard to improve this. In the meantime, you can share your Keynote presentations in a Fuze Meeting in one of two ways. For the best quality, save your presentation as a PDF (from Keynote: File > Print > Save as PDF) and then upload the PDF into the Fuze Meeting. With this method, each slide will be presented in the highest quality but any animations, embedded video or transitions will be lost. If these features are important to your presentation, the best option is to export it as a movie. Since Fuze Meeting synchronizes video playback for all attendees, you can then add the movie to your Fuze Meeting and control your presentation like a movie.

How do I get the best video quality in my Fuze Meetings?

Video in a Fuze Meeting works best if it is MPEG-4 (.MP4) or Apple QuickTime (.MOV) encoded using H.264 and ACC stereo audio. Files in these formats will be displayed natively without alteration. Other video formats are also supported, however, Fuze Meeting will re-encode them. Re-encoding may cause artifacts or other undesirable visual changes to the file. Most current video tools will allow exporting to MPEG-4 or QuickTime H.264.

Why did some recipients meeting invites appear in Outlook as an email only and without an option to Accept the invite?

They're probably using a Gmail account on Outlook. Google has recently changed the default setting for invites to be automatically added to your calendar instead of giving you the option to accept the invite.

If you turn off the setting then the invites should show up in Gmail again.

  • From Gmail, click the Calendar link in the upper left corner. This will pop up another window with the Google calendar.
  • Click Settings in the calendar window.
  • Set the "Automatically add invitations to my calendar:" setting to "No, only show invitations to which I have responded".

How do I use Skype in meeting?

How do I record a meeting?

Meeting recording is a feature available only on our Premium and Pro packages. There’s a red recording button in the upper right hand corner that you can use to start recording. How do I playback a recorded meeting?

Meeting recording and playback are features available only on our Premium and Pro packages. If subscribed to one of these accounts, you can view recorded meetings by logging in, going to ‘My Meetings’ and going to the ‘Recorded Meetings’ tab at the top. Screen Sharing Plugin

Is the plug-in safe to install on my computer?

Yes. The Fuze Meeting screen sharing plug-in is a very small application that can only be used to share your screen while inside a Fuze Meeting. Others can not see your screen when you are not in a web conference and have not chosen to share your screen.

How do I install the plug-in?

When you click the Share Desktop button in a Fuze Meeting, you will be prompted to install the screen sharing plug-in if the latest version of the plug-in is not already installed on your computer.

Mac – Firefox: Depending on your Firefox settings, the installer will either be downloaded automatically to your Downloads folder or you will be asked whether you want to save or run the file. In either case, save the file to your Downloads folder and then double click on FUZEShare.dmg inside your Downloads folder. When the disk image loads on your screen, double click on FUZEShareInstall. Follow the on screen instructions to install the plug-in, then return to your Fuze Meeting and click the Share Desktop button again to start sharing your screen.

Mac – Safari: Safari will automatically download the installer to a folder you have specified in your Safari settings (by default this is the Downloads folder). Then, depending on your Safari settings, it may automatically mount the disk image and load the FUZEShare installer. If this is the case, follow the on screen instructions to install the plug-in and then return to your Fuze Meeting and click the Share Desktop button again to start sharing your screen. If you do not see anything happen after the download completes, you may have Safari set to not automatically open "known files". In this case, open your downloads folder and double click on FUZEShare.dmg, then when the disk image loads on your screen, double click on FUZEShareInstall. Follow the on screen instructions to install the plug-in, then return to your Fuze Meeting and click the Share Desktop button again to start sharing your screen.

XP – Firefox: Firefox will ask you if you want to save the installer, then will save it to your computer (by default to your desktop) if you click Save File. After the download completes, double click on FUZEShare.msi either on your desktop or in the downloads window to start the installer. Follow the on screen instructions to install the plug-in, then return to your Fuze Meeting and click the Share Desktop button again to start sharing your screen. After you click the Share Desktop button, IE will display a warning: "A website wants to open web content using this program on your computer". Check the "Do not show me the warning for this program again" box and click Allow.

Why does Firefox open up multiple tabs when I press "Share Desktop"?

When you installed the Screen Share plug-in, Firefox asks what program you would like to use to open the application with. If you chose to use Firefox, the next time you press "Share Desktop" multiple tabs will open until you close the web browser. To correct this problem, follow the instructions to fix your application handing for the Fuze plug-in.

Why do I get the error "Firefox doesn't know how to open this address, because the protocol (fuze) isn't associated with any program." when I click the Share Desktop button?

This error message indicates that the plug-in is not properly installed. Manually download the plug-in installer and then double click on the installer after it has downloaded. You should no longer see this error message if the installation completes correctly. If you continue to see this error after reinstalling, follow the instructions to fix your application handing for the Fuze plug-in.

How do I fix the application handling for Fuze in Firefox?

If you need to fix the application handling for Fuze in Firefox, follow these instructions:

Mac: Open the Firefox menu, select Preferences and then click the Applications tab. Now enter fuze into the search box and click on the drop down menu under Action and select Use Other... then browse to your Applications folder and select FUZE Meeting (if you only see an application named FUZEshare, you have an older version installed and should delete it and reinstall). After selecting FUZE Meeting, close the preferences window and restart Firefox.

PC: Open the Tools menu of Firefox, select Options and then click the Applications tab. Now enter fuze into the search box and click on the drop down menu under Action and select Use Other... then browse to C:\Program Files\Fuze Box\Fuze Meeting and select Fuze_Meeting.exe. After selecting FUZE Meeting, close the options window and restart Firefox.

How do I manually download the plug-in?

If you are having trouble downloading the plug-in through Fuze Meeting, you can manually download it from the links below:

Why do I get prompted to reinstall the plug-in every time I click the Share Desktop button?

Fuze Meeting uses a Flash cookie to determine whether or not the plug-in is installed on your computer. If you do not allow storage of Flash cookies, we can not determine whether or not the plug-in is already installed. To check, open the Flash Player Settings Manager by visiting this page.

Make sure that the "Allow third-party Flash content to store data on your computer" box is checked, and the slider for "the amount of disk space that websites you haven’t visited yet can use to store information on your computer" is set to at least 100KB.

This problem can also be caused if a security or firewall program on your computer is blocking the plug-in's connections to our servers. If you have any security or firewall software installed on your computer (Norton, McAfee, Zone Alarm, Eset, Pc-Cillin, etc.), check the application settings and make sure that FUZEshare is allowed BOTH inbound and outbound connections. The options for specific program settings are sometimes in the "advanced settings" options in your firewall settings.

Fuze Meeting on the iPhone

Where do I get Fuze Meeting for the iPhone?

Fuze Meeting on the iPhone is available exclusively from the Apple App Store. You can download it here.

Do I need to create a new Fuze Meeting account?

If you already are a Fuze Meeting user, you don't need to create a new account. Your existing Fuze Meeting account username and password gives you full access to Fuze Meeting from the Web and your iPhone. Use Fuze Meeting on the Web when you want to share your desktop, mark up HD video, high-res images and documents with your web conference attendees.

What types of media can I share with iPhone attendees?

iPhone attendees can view screen sharing, movies and image files. Other types of media are not supported on the iPhone soon, but will be coming soon.

Connections

What network connection should I use to host a meeting?

To host and moderate a web meeting from the iPhone, you must be connected to Wi-Fi or 3G. You cannot moderate and participate in a web meeting using the Edge network alone. The best practice is as follows:

To turn Wi-Fi on, go to iPhone Settings. If you are connected to a Wi-Fi network, you will see its name displayed. If you see Off, tap Wi-Fi and move the slider to ON. Choose a network to join.

To enable 3G, go to iPhone Settings > tap General > tap Network. Make sure Enable 3G is ON.

If my Wi-Fi connection drops, then what?

This depends on your iPhone (3G capable or not) and the network connections you have at the time of your meeting (see Connections table). Fuze Meeting will do its best to switch to the best connection if you are connected to both the carrier network (Edge or 3G) and Wi-Fi. You MUST be connected to Edge or 3G in order to participate (talk) from your iPhone in the web meeting. If you have 3G enabled and the Wi-Fi connection drops, Fuze Meeting will re-open the web meeting and you can continue moderating and hosting the meeting as before with only a slight interruption.

Meetings

Can I start a meeting from my iPhone?

You can start an instant audio conference at any time from your iPhone, as long as the Room displays as Available. Scheduled conferences automatically start for you on your iPhone.

Can I schedule a Fuze Meeting meeting from my iPhone?

To schedule an online conference for a future date/time, you must use Fuze Meeting Web or the Fuze Meeting Outlook Plugin. Meetings scheduled from the Web display in your iPhone meetings list. To download the Outlook Plugin, log in to Fuze Meeting on the Web or Outlook and go to My Account > Applications.

How do I start a scheduled meeting?

Scheduled meetings start automatically for you on the iPhone.

How do I fetch myself into a meeting?

From the live meeting, tap Fetch > Fetch me into meeting. Confirm your phone number. Tap Answer when the call comes in. Press the Home button on the iPhone and re-open Fuze Meeting. From Fuze Meeting, go to Meetings and return to your meeting.

Why do I have to re-open Fuze Meeting when I fetch myself?

The iPhone is designed so that only one application can be open at a time, consequently - all applications are forced to close when a phone call is made or received. You must re-launch Fuze Meeting every time you make or receive a call.

How do I fetch attendees?

From the live meeting, tap Fetch > Fetch Attendee > locate the contact you want to fetch. Tap the contact, then tap Done. Perform this process for each attendee.

How do I view my upcoming meetings?

All upcoming Fuze Meetings can be seen from either the iPhone or the Web.

How do I end a meeting on the iPhone?

To end a web conference from your iPhone, tap End at the bottom of the meeting screen or Return to Call at the top of any Fuze Meeting screen and End Call. Once the Host ends the web conference, the Meeting Room is closed and all attendees are disconnected.

NOTE: If the web conference was started using Fuze Meeting on the Web and you end it from the iPhone, you will only be ending the audio portion of the conference.

Chat

I can't see my IM contacts - why?

Normally, Fuze Meeting imports your contacts from your IM networks automatically. However, you can manually sync contacts if desired. Go to Settings > IM Networks > select the IM network(s). If necessary, log in to each one and sync your contacts. Your contacts will display the next time you go to Chat.

Also, make sure you have Show Offline Contacts set to ON. Go to Settings > Contact List/Status > Show Offline Contacts.

How do I change my status?

Go to Chat > tap status button at top of screen and select the desired status.

Can I add a nickname to a contact?

Yes - go to Chat > tap contact > tap contact name at top of screen > Edit. You can edit the nickname field.

How can I import my existing contacts into Fuze Meeting?

You can import contacts automatically from your IM network account by logging into your Fuze Meeting account and going to the Contacts tab. From the Contacts choose the desired network, enter the Username and Password and click on Import at the bottom of the page. You can also Import contacts by uploading a CSV file. Download the blank CSV template that Fuze Meeting uses.

How do I add the OCS IM Network to my Fuze Meeting account?

Log into your Fuze Meeting account and select the “My Account” tab followed by the “IM Networks” sub tab. Fill out the required information and click the Login button once complete.

Note: To remove the account, press the “X” button

Can I add the OCS Network from my iPhone?

Yes, tap the Fuze Meeting application on your iPhone, then tap the Settings option followed by the IM Networks. Select the OCS network and fill out the required information as follows:

Sign-in Name: username@company.com
Username: domain\username
Password: your login password

Can I add the OCS Network from my Blackberry?

Yes, open the Fuze Meeting application on your device. Press the Menu key and scroll to the Settings option. From the Settings screen, scroll down to the IM Networks and press the scroll button. Select the OCS Network and press next. Fill out the required information as follows:

OCS sign-in name: john@company.com
OCS user name: domain\\username
OCS password: your login password

Press finish once the information has been entered.

Why do I get an "Authentication Failure" or "Error: 401 Unauthorized" message when I try and login?

Fuze Meeting connectivity to OCS uses "Auto Discovery" mode to find the corporate OCS server. (No company server information is required)

The only requirement is the corporate OCS server must be configured so that it allows connections from Microsoft OCS Communicator desktop client without the need of making a VPN connection first. If the OCS Communicator client can connect with "Automatic Configuration" outside of the VPN, then Fuze Meeting application should also work.

How do I setup my OCS for Automatic Discovery?

Your company's IT Department would need to make these changes. Our experience shows that opening OCS server for Communicator access is standard procedure for most companies. In some cases, companies may only have CWA (Client Web Access) enabled, which allows web based clients to connect to OCS. This would not work because OCS Communicator and OCS Web client use different protocols.

What is High Fidelity Audio Conferencing?

High Fidelity Audio Conferencing is the only conference calling service that offers high-definition voice quality. Fuze Audio Conferencing uses this technology.

Does it cost more to use Fuze Audio Conferencing?

No. Unlimited toll audio conferencing is included in all Fuze Meeting subscriptions.

Can I use a toll-free number with Fuze Audio Conferencing?

Yes. Toll-free access numbers are available as an add-on to your Fuze Meeting account. See Making Changes to Your Account for more information.

Can I use Fuze Audio Conferencing without having to start an online meeting?

Yes. While it is always easier to manage your call with the addition of visual cues, you can use your Fuze Meeting account to run audio-only meetings (conference calls).

How do I mute or unmute attendees?

You can mute and unmute attendees by clicking the phone icon next to an attendee's name in the Call Attendees panel (see Meetings > Quick Start > Call Attendees).

Making Changes to Your Account

How do I make changes to my Fuze Meeting account and subscription?

Log into Fuze Meeting and select My Account > Subscription Information. You can upgrade your subscription from the Subscription Information page. Contact Fuze Box Customer Care for further changes.

Security and Privacy Questions

How secure is information I share in Fuze Meeting?

Fuze online meetings are secured using a 128-bit SSL encryption connection between all attendees.
